This Privacy Policy ("Policy") sets out the basis on which Regional Energy Pte Ltd ("Regional Energy", "we", "us" or "our") may collect, use, disclose or otherwise process personal data in accordance with Singapore's Personal Data Protection Act 2012 ("PDPA"). It explains how personal data is collected, used, transferred, stored and accessed, and how you can ask us to correct it or stop using it.
Our work in project delivery, specialist talent deployment, project controls and mobilisation depends on the trust of both our clients and the professionals we deploy. We review this Policy and our data protection practices regularly, including when the PDPA or related guidance changes.
Personal data
- 1.
In this Policy:
- (a)"client" means an individual who has contacted us about our services, or who acts for an organisation that has entered, or may enter, into a contract with us for the supply of services;
- (b)"candidate" means an individual who has applied for, been put forward for, or been deployed on a role or assignment through us, including specialists sourced through our alliance partners;
- (c)"you" means a client, a candidate, or any other individual whose personal data we process, including visitors to our website; and
- (d)"personal data" means data, whether true or not, about an individual who can be identified from that data, or from that data and other information to which we have or are likely to have access.

Depending on how you interact with us, the personal data we may collect includes:
- (a)contact details, such as your name, job title, organisation, email address and telephone number;
- (b)for candidates, your CV and employment history, qualifications, professional certifications, references, interview notes, availability and salary or rate expectations;
- (c)for candidates who are deployed, information needed to arrange employment, work passes and payroll, such as nationality, date of birth, passport details, bank account details and emergency contacts. We collect NRIC, FIN or passport numbers only where required by law or where needed to verify your identity to a high degree of fidelity, for example for a work pass application; and
- (d)information you provide when you write to us or use the enquiry form on our website.

Other terms used in this Policy have the meanings given to them in the PDPA, where the context permits.
Collection, use and disclosure of personal data
- 4.
We generally do not collect your personal data unless (a) you provide it to us voluntarily, directly or through a third party you have authorised to disclose it (your "authorised representative"), after you or your authorised representative have been notified of the purposes for which it is collected and have consented to its collection and use for those purposes; or (b) collection and use without consent is permitted or required by the PDPA or other laws. We will seek your consent before collecting additional personal data, or using your personal data for a purpose that has not been notified to you, except where permitted or authorised by law.

We may collect and use your personal data for any or all of the following purposes:
- (a)providing the services you or your organisation have requested, including project delivery support, project controls, PMO and client representation;
- (b)assessing candidates for roles and assignments, presenting candidate profiles to clients with the candidate's agreement, and arranging interviews;
- (c)onboarding and deploying candidates, including employment contracts, work pass applications, relocation support, payroll and statutory contributions;
- (d)verifying your identity;
- (e)responding to and handling queries, requests, applications, complaints and feedback;
- (f)managing our relationship with you or your organisation;
- (g)processing payments and invoices;
- (h)complying with applicable laws, regulations, codes of practice, guidelines or rules, and assisting law enforcement and investigations by governmental or regulatory authorities;
- (i)sending you information about our services or relevant opportunities, where you have agreed to receive it;
- (j)any other purpose for which you have provided the information; and
- (k)any other incidental business purposes related to or connected with the above.

We may disclose your personal data:
- (a)to clients, where a candidate has agreed to be put forward for a role or assignment;
- (b)to our alliance and sourcing partners, including international recruitment partners, where needed to identify, assess or mobilise specialists;
- (c)to third-party service providers we engage to carry out the purposes above, such as payroll, insurance, IT, email and website form providers; and
- (d)to government agencies such as the Ministry of Manpower, and to other parties, where required to comply with applicable laws, regulations, codes of practice, guidelines or rules, or to assist in law enforcement and investigations.

The purposes above may continue to apply after your relationship with us has ended or changed, for a reasonable period (including, where applicable, a period to allow us to enforce our rights under a contract with you).
Withdrawing your consent

The consent you give for the collection, use and disclosure of your personal data remains valid until you withdraw it in writing. You may withdraw consent, and ask us to stop collecting, using and/or disclosing your personal data for any or all of the purposes above, by writing to our Data Protection Officer at the contact details below.

When we receive your written request, we may need reasonable time (depending on the complexity of the request and its impact on our relationship with you) to process it and to tell you the consequences of doing so, including any legal consequences that may affect your rights and liabilities to us. In general, we will seek to process your request within ten (10) business days of receiving it.

While we respect your decision to withdraw consent, depending on the nature and scope of your request we may no longer be able to provide our services to you or put you forward for roles. If so, we will tell you before we complete the processing of your request. If you decide to cancel your withdrawal of consent, please tell us in writing in the manner described above.

Withdrawing consent does not affect our right to continue to collect, use and disclose personal data where this is permitted or required under applicable laws.
Access to and correction of personal data

If you wish to make (a) an access request, for a copy of the personal data we hold about you or information about how we have used or disclosed it in the past year, or (b) a correction request, to correct or update personal data we hold about you, please write to our Data Protection Officer at the contact details below.
- 13.
A reasonable fee may be charged for an access request. If so, we will tell you the fee before processing your request.
- 14.
We will respond to your request as soon as reasonably possible. If we cannot respond within thirty (30) days of receiving it, we will tell you in writing within that period when we expect to be able to respond. If we cannot provide personal data or make a correction you have requested, we will generally tell you why, except where the PDPA does not require us to do so.
Protection of personal data

To protect your personal data from unauthorised access, collection, use, disclosure, copying, modification, disposal or similar risks, we use appropriate administrative, physical and technical measures. These include access controls on a need-to-know basis, strong passwords and multi-factor authentication on business accounts, encryption where appropriate, up-to-date antivirus protection, regular patching of operating systems and software, and secure erasure of storage media before devices are disposed of.

No method of transmission over the Internet or method of electronic storage is completely secure. While we cannot guarantee security, we work to protect your information and review our security measures regularly.
Accuracy of personal data

We generally rely on the personal data provided by you or your authorised representative. To keep your personal data current, complete and accurate, please tell our Data Protection Officer in writing if it changes.
Retention of personal data
- 18.
We may retain your personal data for as long as it is needed for the purpose for which it was collected, or as required or permitted by applicable laws, including employment, tax and immigration record-keeping requirements.
- 19.
We will stop retaining your personal data, or remove the means by which it can be associated with you, as soon as it is reasonable to assume that retention no longer serves the purpose for which it was collected and is no longer necessary for legal or business purposes.
Transfers of personal data outside Singapore
- 20.
Because we source specialists internationally and work with alliance partners and clients outside Singapore, we may transfer personal data to countries outside Singapore. For candidates, this usually happens when you are sourced or put forward through our international network.
- 21.
Where we transfer personal data outside Singapore, we will do so in accordance with the PDPA and take appropriate steps to ensure that the recipient provides a standard of protection comparable to that under the PDPA, for example through contractual obligations.
Effect of this Policy and changes to it
- 22.
This Policy applies together with any other notices, contractual clauses and consent clauses that apply to our collection, use and disclosure of your personal data.

We may revise this Policy from time to time. The date on this page shows when it was last updated. Your continued use of our services or website after a change constitutes your acknowledgement of the revised Policy.

When you submit the enquiry form on our website, the information you enter is sent to us through Web3Forms, a third-party form processing service, and delivered to our email inbox. We use it only to respond to your enquiry and for the purposes described in this Policy.

Applications to join our talent network are made on EZJOB by LENIX, a talent-matching platform operated by our alliance partner. Personal data you submit there is also subject to EZJOB's own privacy terms. Once we receive your details from it, we process them in accordance with this Policy.
- 27.
Our website does not currently use analytics or advertising cookies. Web fonts are loaded from a third-party font service, which may receive your IP address as part of delivering the font files. If we introduce cookies in future, we will update this Policy.
- 28.
We retain copyright in the material on this website, including the logo, photographs and content. No part of this website may be copied, performed in public, used or adapted without our written consent.
